Please read these terms of use carefully before using the Aesthetidocs website, mobile app, or online appointment booking platform (the site) – your use of the site is subject to these terms.

The site is operated by Aesthetidocs Limited (Aesthetidocs, we, our or us) of Lockview House, 49 Lockview Road, Belfast, Northern Ireland, BT9 5FJ.

By using our site, you confirm that you accept these terms and that you agree to comply with them. If you do not agree to them, you must not use our site.

Our site is a service operated by us to facilitate the arranging and managing of bookings with aesthetic treatment clinics. These terms only apply to the booking management process. You may be subject to additional terms and conditions with your treating clinic or practitioner which govern your relationship with them and any services they provide to you.

When you use our site, you will be providing us with personal data about you. You can see how we use personal data by going to our privacy policy www.aesthetidocs.com/privacy

Authorization to use the site

Subject to your compliance with these terms, you may access or use the site solely for the purpose of arranging, managing, and paying for bookings with clinics or practitioners offering aesthetic treatment services.

You must not access or use the site except as permitted by these terms. In particular, you must not and must not permit any other person to:

  • Pretend that you are, or that you represent, someone else, or impersonate any other individual or entity when using the site.
  • Resell, assign, transfer, distribute or provide others with access to the site or any of our materials.
  • Copy, modify, frame, repost, publicly perform or display, sell, reproduce, distribute, or create derivative works of the site.
  • Use the site to transmit, publish or communicate material that is defamatory, offensive, abusive, indecent, menacing or unwanted.
  • Use the site in any way that damages, interferes with or interrupts the availability of the site.
  • Introduce malicious programs into our hardware and software or our hardware, software and services which are integrated and operate together, including our networks, including viruses, worms, trojan horses and e-mail bombs.
  • Reveal your account password to others or allow others to use your account.
  • Use the site to carry out security breaches or disruptions of a network. Security breaches include accessing data where you are not the intended recipient or logging into a server or account that you are not expressly authorised to access or corrupting any data (including network sniffing/monitoring, pinged floods, packet spoofing, denial of service and forged routing information for malicious purposes).
  • Use any program/script/command, or send messages of any kind, with the intent to interfere with, or disable, any person’s use of the site.
  • Send any unsolicited messages through or to users of the site or to send any form of harassment via email, or any other form of messaging, whether through language, frequency, or size of messages or use the site in breach of any person’s privacy (such as by way of identity theft or “phishing”).

Any non-compliance by you with these terms shall give us the right to suspend provision of the site to you and access to your account, and to terminate our relationship with you without liability.

Reservation of rights

Aesthetidocs and its licensors each own and retain their respective rights in and to all logos, company names, marks, trademarks, copyrights, trade secrets, know-how, patents and patent applications that are used or embodied in or otherwise related to the site. Aesthetidocs grants no rights or licenses (implied, by estoppel, or otherwise) whatsoever to you under these terms.

Information provided to us

You are solely responsible for all data, information and other content, that you upload, post, or otherwise provide or store in connection with or relating to the site.

By providing us any information through the site, you grant Aesthetidocs a worldwide, non- exclusive, perpetual, irrevocable, royalty-free, fully paid, sublicensable and transferable license to use, modify, reproduce, distribute, display, publish and perform that information in connection with the site. Aesthetidocs may remove or disable any information provided by you at any time for any reason, or for no reason at all.

You agree that we may share any information provided by you with the treating clinic or practitioner with whom you are seeking to make or have made an appointment.

Your commitments

You represent and warrant to Aesthetidocs that your activity on the site does not and will not violate, infringe, or misappropriate any third party’s copyright, trademark, right of privacy or publicity, or other personal or proprietary right.

You represent and warrant that all information you provide to us through the site is complete, accurate and not misleading. You must ensure that you promptly provide us with any updates or changes to any information previously provided to us.

Disclaimer

THE SITE AND ITS CONTENT ARE PROVIDED ON AN “AS IS” AND “AS AVAILABLE” BASIS WITH ALL ERRORS AND DEFECTS AND WITHOUT ANY WARRANTIES OF ANY KIND, AND AESTHETIDOCS EXPRESSLY DISCLAIMS ALL REPRESENTATIONS AND WARRANTIES, INCLUDING ANY IMPLIED WARRANTIES OF ACCURACY, COMPLETENESS, MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE OR NON-INFRINGEMENT, AND ANY REPRESENTATIONS OR WARRANTIES ARISING FROM COURSE OF DEALING, COURSE OF PERFORMANCE OR USAGE OF TRADE. YOU ACKNOWLEDGE THAT AESTHETIDOCS DOES NOT WARRANT THAT YOUR ACCESS OR USE OR BOTH OF THE SITE AND ITS CONTENT WILL BE UNINTERRUPTED, TIMELY, SECURE, ERROR-FREE OR VIRUS-FREE, AND AESTHETIDOCS DOES NOT MAKE ANY WARRANTY AS TO THE RESULTS THAT MAY BE OBTAINED FROM USE OF THE SITE AND ITS CONTENT. NOTHING ON THIS SITE CONSTITUTES MEDICAL ADVICE, AND YOU SHOULD ALWAYS SEEK ADVICE FROM A QUALIFIED MEDICAL PRACTITIONER AS APPROPRIATE.

Liability

AESTHETIDOCS WILL NOT BE LIABLE TO YOU FOR ANY INCIDENTAL, CONSEQUENTIAL, INDIRECT, SPECIAL, PUNITIVE OR EXEMPLARY DAMAGES (INCLUDING DAMAGES FOR LOSS OF BUSINESS, LOSS OF PROFITS OR THE LIKE) ARISING OUT OF OR RELATING TO THIS SITE, INCLUDING WITHOUT LIMITATION, YOUR USE OR INABILITY TO USE THE SITE, SITE, MATCHING SERVICES, CONTENT, PROPRIETARY INFORMATION, OR ANY INTERRUPTION OR DISRUPTION OF SUCH USE, EVEN IF AESTHETIDOCS HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES AND REGARDLESS OF THE CAUSE OF ACTION (WHETHER IN CONTRACT, TORT, BREACH OF WARRANTY OR OTHERWISE). THE AGGREGATE LIABILITY OF AESTHETIDOCS WITH REGARD TO THESE TERMS WILL IN NO EVENT EXCEED £50.

Updates to the terms

Aesthetidocs reserves the right to do any of the following, at any time, without notice: (1) to modify, suspend or terminate operation of or access to the site, or any portion of the site, for any reason; (2) to modify or change the site, or any portion of the site, for any reason; and (3) to interrupt the operation of the site, or any portion of the site, as necessary to perform routine or non-routine maintenance, error correction, or other changes.

Aesthetidocs reserves the right, at its sole discretion, to change or modify portions of these terms at any time. Your continued use of the site after the date any such changes become effective constitutes your acceptance of the new or revised terms.

Jurisdiction

These terms shall be governed by and interpreted according to the law of Northern Ireland and all disputes arising under these terms (including non-contractual disputes or claims) shall be subject to the exclusive jurisdiction of the Northern Irish courts.

THE GOOD FACE CLINIC


By proceeding with an online booking and paying a deposit, you confirm that you have read, understood, and agree to the following terms. These terms form a binding agreement between you (the Client) and The Good Face Clinic (the Clinic).


1. Deposits & Appointment Booking


A deposit is required to secure your appointment. Appointments are confirmed only once the deposit has been received. Deposit amounts are as follows:


Standalone treatments: 50% of the treatment fee


Packages and courses: 20% of the total package or course fee 


£25 prescriber fee which is non-refundable, unless you are deemed medically unfit to proceed with botulinum toxin injections by the clinic.


Your deposit is an advance payment for the reservation of dedicated clinical time and preparation for your appointment. This includes, but is not limited to:


Time reserved exclusively for you


Clinical preparation and planning


Procurement, preparation, or prescription of treatment materials


Administrative time associated with your booking 


As such, the deposit reflects a genuine pre-estimate of loss should an appointment be cancelled late, missed, or not proceed. 


For standalone treatments, the remaining balance is payable in clinic following completion of your procedure and before leaving. For packages and courses, the remaining balance is due at the first appointment, payable following completion of that session and before leaving. 


2. Formation of Agreement


Your booking is confirmed once a deposit has been paid. By doing so, you accept these terms, which are made available as part of the booking process. This agreement relates to the reservation of clinical time and professional care, rather than a guaranteed treatment outcome. 


3. Clinical Assessment & Professional Duty


Every appointment includes a full consultation, medical history review, and clinical assessment. As a registered nurse, all care is delivered in line with the standards set by the Nursing and Midwifery Council, supported by guidance from the Joint Council for Cosmetic Practitioners and the British Association of Medical Aesthetic Nurses. 


These standards require that I:


Prioritise your safety and wellbeing


Practise within my scope of competence


Obtain informed consent


Make independent clinical decisions 


For this reason, treatment may be refused, postponed, or adapted at any stage if it is not considered safe or appropriate. Clinical decisions are made in your best interests and are final. 


Where treatment is declined on clinical grounds, your deposit will be fully refunded. 


4. Consultation, Cooling-Off & Commitment to Proceed


You are under no obligation to proceed with treatment prior to consultation and informed consent being completed. In some cases, a cooling-off period may be advised. There is never any pressure to proceed. 


However, where all of the following apply:


A treatment has been discussed and agreed


A deposit has been paid to secure your appointment


A full consultation has taken place


Informed consent has been completed 


You are considered to have made a fully informed and voluntary decision to proceed. At this stage, your appointment represents allocated clinical time and committed professional service, including preparation and treatment planning. 


If you subsequently choose not to proceed, this will be treated as a late cancellation and your deposit will be retained. This reflects that the contractual service -- namely consultation, clinical assessment, preparation, and allocation of time -- has already been provided. 


5. Client Responsibility, Medical Disclosure & Limitation of Liability


You agree to provide accurate, complete, and up-to-date medical information prior to and at the time of your appointment, including:


Medical conditions


Medications (prescribed or over-the-counter)


Allergies


Previous treatments or procedures 


This information is essential to ensure that treatment is safe, appropriate, and clinically justified. The Clinic relies on the accuracy of the information provided and cannot be held responsible for outcomes, complications, or adverse effects arising from omitted, inaccurate, or misleading information. 


You agree to inform the Clinic of any changes to your medical status prior to your appointment. Where relevant medical information is withheld or not disclosed, the Clinic reserves the right to refuse or discontinue treatment and to withhold responsibility for resulting outcomes. 


Nothing in these terms excludes or limits liability where it cannot legally be excluded, including liability for death or personal injury caused by negligence. 


6. Consent & Treatment Planning


All treatments are carried out following a clinical consultation, medical assessment, and informed consent. The consultation process is designed to ensure treatment is safe, appropriate, and based on realistic expectations. 


Any treatment plan discussed reflects professional clinical opinion based on your individual needs. Treatment plans may be adjusted or declined where clinically indicated. 


Consent:


Is specific to the agreed treatment


Must be given voluntarily


May be withdrawn at any time prior to treatment, subject to Section 4 


7. Treatment Outcomes & Expectations


All aesthetic treatments are individualised medical procedures and results vary between individuals. Outcomes are influenced by factors including anatomy and skin quality, lifestyle and environmental factors, healing response and metabolism, and adherence to aftercare. Results may be subtle, gradual, temporary, or require multiple sessions. 


No Guarantee of Outcome


No guarantee can be given regarding the exact result, degree of improvement, or longevity of results. Any discussion of expected results represents professional guidance, not a promise. 


Nature of Payment


Fees are charged for clinical time, professional expertise, and the safe delivery of treatment. Payment is not dependent on achieving a specific aesthetic result. 


Further Treatment


Where further treatment is required to enhance results, additional sessions may be recommended and may incur additional cost. The Clinic is not obliged to provide further treatment where the original procedure has been performed appropriately. 


Aftercare & Responsibility


You agree to follow all aftercare advice provided. The Clinic cannot accept responsibility for outcomes affected by failure to follow aftercare or external factors beyond clinical control. 


Refunds


Once treatment has been carried out, fees are non-refundable. Dissatisfaction with aesthetic outcome alone does not constitute grounds for a refund. 


8. Behaviour & Clinic Environment


The Clinic operates a zero tolerance approach to abusive, aggressive, or inappropriate behaviour. Treatment may be refused or discontinued, and future appointments declined, in such cases. 


9. Communication & Concerns


If you have any concerns, you are encouraged to contact the Clinic directly so they can be reviewed appropriately. The Clinic will always aim to resolve concerns fairly and professionally. 


The Clinic reserves the right to decline further services where behaviour is unreasonable, abusive, or damaging to the clinical environment. 


10. Agreement


By confirming your booking and paying a deposit, you confirm that you accept these terms in full. 


THE GOOD FACE CLINIC


Cancellation, Deposit & Booking Policy


By proceeding with a booking and paying a deposit, you confirm that you have read, understood, and agree to this policy. These terms form a binding agreement between you (the Client) and The Good Face Clinic (the Clinic). 


1. Deposits


A deposit is required to secure your appointment. Appointments are confirmed only once the deposit has been received. Deposit amounts are as follows:


Standalone treatments: 50% of the treatment fee


Packages and courses: 20% of the total package or course fee 


Your deposit is an advance payment for the reservation of dedicated clinical time and preparation for your appointment. This includes:


Time reserved exclusively for you


Clinical preparation and planning


Procurement, preparation, or prescription of treatment materials


Administrative time associated with your booking 


As such, the deposit reflects a genuine pre-estimate of loss should an appointment be cancelled late, missed, or not proceed.

2. Prescriber Consultations


Prescriber consultation fees are non-refundable under any circumstances and are not transferable. 


Prescriber consultations require the coordination of a prescriber's attendance alongside the Clinic's own schedule. The fee reflects the time and resource committed by both parties, regardless of whether the subsequent treatment proceeds. 


3. Cancellation Policy


Cancellations with more than 48 hours' notice


Where notice of cancellation is provided more than 48 hours before the scheduled appointment start time, your deposit may be:


Transferred to a future appointment, or


Refunded via the original payment method where reasonably possible 


Cancellations within 48 hours (late cancellations)


Cancellations made within 48 hours of the scheduled appointment time are considered late cancellations. In such cases, the deposit will be retained. 


The Client acknowledges that this represents a reasonable and proportionate charge, reflecting:


Reserved clinical time removed from availability


Preparation undertaken in advance of the appointment


The Clinic's inability to reallocate the appointment at short notice 


This applies regardless of the reason for cancellation, including but not limited to illness, personal circumstances, or work commitments. 


Where cancellation is required due to circumstances genuinely beyond your control, the Clinic may, at its sole discretion, consider a transfer of deposit to a future appointment. Each case will be assessed individually on its facts. There is no automatic entitlement to a transfer in such cases. 


4. Non-Attendance (Missed Appointments)


Failure to attend an appointment without prior notice will result in forfeiture of the deposit. The appointment will be treated as a late cancellation in all respects. 


5. Late Arrival


Clients are expected to arrive on time for their appointment. 


Where a client arrives more than 15 minutes after the scheduled appointment start time, the Clinic reserves the right to treat the appointment as a late cancellation. The deposit will be retained, and the appointment may not proceed. 


Where arrival is late by less than 15 minutes, the Clinic will make reasonable efforts to proceed; however, this cannot be guaranteed where the delay affects the safe delivery of treatment. 


6. Notice Requirements


A minimum of 48 hours' notice is required to cancel or reschedule an appointment. The 48-hour period is calculated from the scheduled appointment start time.

Messages sent via social media platforms, including Instagram or Facebook, will not be accepted as valid notice. 


Notice is only considered valid once it has been received by the Clinic. It is the Client's responsibility to ensure that cancellation or rescheduling requests have been successfully delivered. 


7. Rescheduling Limits


Where an appointment is rescheduled three or more times within a rolling six-month period, the Clinic reserves the right to:


Require full payment in advance for any future bookings, or


Decline further appointments 


8. Change of Mind on the Day


Clients attending for a consultation-only appointment may choose not to proceed with treatment without this being treated as a cancellation (aside from any applicable consultation fee). 


However, where a treatment has been pre-booked, a full consultation has been carried out, and informed consent has been completed, the appointment is considered to have fulfilled its contractual purpose. A decision not to proceed at this stage constitutes a late cancellation, and the deposit will be retained. 


9. Clinic-Initiated Cancellations


In the event that the Clinic needs to cancel or reschedule an appointment:


Reasonable notice will be provided where possible


An alternative appointment will be offered


Where an alternative is not suitable, a full refund of the deposit will be issued 


10. Clinical Assessment & Right to Decline Treatment

Where treatment is declined on clinical grounds, the deposit will be fully refunded.
